SOURCING PROCESS

From Enquiry to Dispatch — How We Work

Every sourcing engagement follows a structured seven-step process. We manage each stage on behalf of the buyer — maintaining technical alignment, commercial clarity and execution accountability throughout.

A Structured Approach to Every Requirement

We do not operate as a broker or trading intermediary. Every requirement is personally reviewed, every supplier is evaluated against the specific technical need, and every stage of execution is actively followed up. This is how we maintain the quality and reliability that industrial buyers require.

01

Requirement Review

We begin by reviewing the buyer's technical requirement in detail — drawings, specifications, material standards, applicable codes, dimensional tolerances, heat treatment requirements and delivery schedule.

Before approaching any supplier, we ensure we fully understand what is required. This prevents misaligned quotations and avoids technical deviations that surface late in the process.

OUTPUTS

  • Technical requirement summary
  • Applicable standards identified
  • Clarification queries raised if needed
02

Supplier Identification

Based on the technical requirement, we identify Indian manufacturers with the relevant process capability, equipment capacity, material certifications and quality systems.

We do not work from a fixed preferred-vendor list. Supplier selection is driven by the specific requirement — forging press capacity, machining capability, material grade experience and applicable certifications.

OUTPUTS

  • Shortlisted manufacturer profiles
  • Capability assessment
  • Initial technical suitability review
03

RFQ Coordination

We prepare a structured Request for Quotation package and coordinate its distribution to shortlisted manufacturers. Technical and commercial queries are managed between buyer and supplier.

A well-structured RFQ reduces ambiguity and produces comparable quotations. We ensure all technical requirements, inspection requirements and documentation requirements are clearly communicated.

OUTPUTS

  • Structured RFQ package
  • Technical query management
  • Supplier acknowledgement tracking
04

Quotation Analysis

Received quotations are reviewed for technical compliance, commercial competitiveness and delivery feasibility. Deviations are identified and clarified before recommendation.

We compare proposals on a like-for-like basis — highlighting technical deviations, scope differences and commercial variances. This gives the buyer a clear basis for decision-making.

OUTPUTS

  • Technical compliance review
  • Commercial comparison summary
  • Deviation register
  • Recommendation report
05

Order Placement Support

We support the buyer in finalising commercial terms, reviewing purchase order conditions and confirming technical requirements with the selected manufacturer before order placement.

Clear purchase order conditions — covering technical specifications, inspection requirements, documentation requirements and delivery terms — reduce disputes and delays during execution.

OUTPUTS

  • PO review and comment
  • Technical specification confirmation
  • Inspection plan agreement
06

Production Monitoring

After order placement, we maintain regular follow-up with the manufacturer on production progress — raw material procurement, forging schedules, heat treatment, machining and inspection milestones.

Production monitoring prevents surprises. We track key milestones, flag delays early and maintain communication between buyer and manufacturer throughout the manufacturing cycle.

OUTPUTS

  • Production schedule tracking
  • Milestone progress reports
  • Early delay identification
07

Inspection, Documentation & Dispatch

We coordinate third-party or buyer inspection, witness testing, review of inspection reports and test certificates, and confirm documentation completeness before dispatch.

Final inspection and documentation review is the last quality gate before goods leave the manufacturer. We ensure all required certificates, test reports and dimensional records are in order before dispatch is approved.

OUTPUTS

  • Inspection coordination
  • Test certificate review
  • Documentation completeness check
  • Dispatch clearance

HOW WE OPERATE

Four Operating Principles

Buyer-Side Only

We work exclusively for the buyer — never for the manufacturer. Our interest is aligned with yours.

Personally Managed

Every requirement is personally handled by Yaduvansh Tyagi — not delegated to a junior coordinator.

Technically Grounded

We review drawings and specifications ourselves before approaching suppliers — not after.

Documented Throughout

Every stage is documented — from RFQ to dispatch — so the buyer has a clear audit trail.
